Office Administrator
Epineuron is a pioneering nerve care company. We specialize in the creation of bioelectronic solutions, aiming to revolutionize the repair and treatment of damaged nerves. Our flagship technology, the PeriPulse™ Nerve Stimulation System, uses electrical stimulation to harness the regenerative potential of peripheral nerves, accelerating their recovery after injury. Its design offers surgeons a seamless clinical workflow by enabling direct nerve stimulation outside of the operating room, in the recovery room. Job Description
​
We are seeking a detail-oriented and proactive Office Administrator to support our team and ensure smooth operations within our office. The Office Administrator will play a vital role in maintaining an organized, efficient, and professional work environment, helping facilitate communication and workflow for the entire team. This position requires a strong communicator with excellent organizational skills, a positive attitude, and a passion for supporting team success in a fast-paced, dynamic environment.

Epineuron is located in Mississauga, Ontario. Position is on-site.
​
Responsibilities
​
Office Management
-
Maintain office operations, including supply management, equipment maintenance, space planning, and facility management.

Liaise with vendors, service providers, and building management to ensure a well-functioning workspace.

Receive and sort incoming mail and deliveries, and manage outgoing packages
​
Finance Support
-
Process invoices, expense reports, and purchase orders, ensuring timely and accurate payment to vendors and suppliers.

Assist in maintaining budget records, accounts payable/receivable, tracking expenses, and monitoring department spending.

Maintain and update company records, files, and databases.

Support month-end, quarterly and year-end financial processes, and provide data for financial reports.

Coordinate with the finance team to support audit preparation, expense documentation, and compliance with financial policies.
Administrative Support​

Provide administrative assistance to executive and team members, including calendar management, travel arrangements, and meeting coordination.

Prepare and organize documents, presentations, and reports.

Source and procure corporate marketing materials as needed.
Communication
-
Act as a primary point of contact for internal and external communications. Handle inquiries professionally and ensure accurate and timely communication across teams and departments.

Manage customer service to facilitate sales orders, deliveries, and general inquiries.

Event and Meeting Coordination

Organize and coordinate company meetings, team events, and other office-related functions. Prepare materials, arrange logistics, and support activities to create a productive environment.
​
Human Resources Support

Assist HR in onboarding new employees, managing employee files, and supporting HR functions such as training coordination, policy updates, and other HR-related tasks.
Qualifications
​
​Education
-
College or Bachelor’s Degree in business or commerce.
Experience
-
Minimum 3+ years of experience in office administration or similar roles, ideally in a regulated industry (medical devices, pharmaceuticals, etc.).
Skills
-
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Excellent written and verbal communication skills.

Ability to handle multiple tasks, prioritize, and work independently in a fast-paced environment.

High level of attention to detail and problem-solving skills.

Familiarity with basic HR practices and experience with scheduling and event planning preferred.

Knowledge of medical device regulatory requirements (e.g., FDA, ISO) is a plus.

Anticipated Start Date: Immediate
Schedule: Full time (Monday to Friday at 8 hours per day or 40 hours per week). Occasional travel (<10% of time).
